Microsoft 365 Copilot · 3 steps

Never forget a follow-up you promised

Every week I send emails promising things. I'll send you the deck Friday. Let me check and get back to you. Then the week happens and something slips. This Copilot prompt in Outlook finds every promise you haven't kept yet, and you can have it run every Monday morning.

The steps

Three steps, then put it on a schedule

  1. Open Outlook and select the Copilot button near the top of the window. Paste prompt 1. Copilot looks through what you sent and lists each promise you haven't followed up on.
  2. Ask for the drafts. Paste prompt 2. Copilot writes each follow-up using the original thread.
  3. Read each one, fix anything that doesn't sound like you, and send it. Check names, dates and anything you're promising again.
  4. Make it automatic. Hover over your first prompt and select Schedule this prompt. Set it to run every Monday at 8 a.m., turn on the email notification and select Save. Every Monday the list is waiting before you open your inbox.
1. Find the promises
Look through emails I sent in the last 14 days. Find every one where I promised something (a file, a call, an answer) and I haven't followed up. List the person, what I promised, and the date. Put the oldest promise at the top.
2. Draft the follow-ups
Draft follow-ups for the top three. Use the original email thread for each one. Keep each under 80 words, say what I'm sending or when they'll have it, and don't apologize more than once.

What you need

  • A work or school Microsoft 365 account. Searching across your whole mailbox, and scheduling prompts, need a Microsoft 365 Copilot license. The free Copilot Chat mostly works on the email you have open.
  • Scheduling works in Outlook on the web and on desktop, and in Copilot Chat.
  • When you set the schedule, you also choose how many times it runs. When it ends, edit the schedule to keep it going.
Questions people ask

Quick answers

Can Copilot find emails I forgot to follow up on?

Yes, with a Microsoft 365 Copilot license. Open Copilot in Outlook and ask it to look through emails you sent in the last 14 days, find every promise you haven't followed up on, and list the person, the promise and the date. Then ask it to draft follow-ups for the top three.

How do I schedule a prompt in Copilot?

Hover over a prompt you've already run and select Schedule this prompt. Choose when it runs and how many times, decide whether you want an email when the answer is ready, then select Save. It works in Outlook on the web and desktop, Copilot Chat and Teams. You can have up to 10 scheduled prompts.

Do I need a paid Copilot license for this?

Yes. Scheduled prompts need a Microsoft 365 Copilot license, and so does asking Copilot about your whole mailbox. Copilot Chat comes with work and school Microsoft 365 accounts, but in Outlook it mostly works on the email you have open. Ask your IT team which one you have.

Where do I find the results of a scheduled Copilot prompt?

In the Chats list on the left side of the Copilot window. Scheduled prompts are in bold with an icon in front of them. If you turned on the email notification, you also get an email when the answer is ready. Manage them from Settings and more, then Scheduled prompts.

The other half: who owes you a reply

The Monday prompt finds what you owe other people. The bonus finds what other people owe you, and drafts a polite nudge for each, plus a Friday check so nothing you promised this week carries over.

Who owes me a reply
Look through emails I sent in the last 14 days where I asked someone a question, asked for a file, or asked for a decision, and they haven't replied. List the person, what I asked for, the date I asked, and how many days it's been. Leave out anything I sent to more than five people. Oldest at the top.
Draft the nudges
For the top three, draft a short, friendly nudge in the original thread. Two or three sentences. Restate what I need and by when, give them an easy way to answer, and don't sound annoyed.
Friday check (schedule this one too)
Look at the emails I sent and the meetings I had this week. List anything I said I would do by the end of this week that I haven't done yet, with the person and the deadline. Then list anything I said I'd do next week, so I can block time for it.

Schedule the Friday check the same way: hover over the prompt, select Schedule this prompt, and set it for Friday afternoon. You can have up to 10 scheduled prompts. Manage them from Settings and more, then Scheduled prompts, where you can run one now, change the schedule, turn it off or delete it.
